How Hounslow Council embraced hybrid mail to support remote working and cut costs

As one of London’s largest boroughs, Hounslow Council needed a modern way to manage printing and mailing in a world of hybrid working. By partnering with Mail Metrics, the Council closed its in-house print room, enabled staff to send secure mailings from home, and introduced smarter print management systems that cut costs, improved efficiency, and supported the delivery of diverse public services.

The Problem:

In 2019, Hounslow Council moved into a new, smaller office where space was at a premium. The Council decided to close its in-house print room, but employees still needed a secure and reliable way to print and post communication – particularly while working from home.

In addition to day-to-day letters, the Council also required a responsive solution for urgent print jobs such as committee papers, agendas, and marketing materials like brochures and banners.

How we helped:

Mail Metrics worked alongside the Council to introduce a Hybrid Mail solution, enabling staff to print securely from their desktop, wherever they were working. Communications were transmitted directly to Mail Metrics’ production facility for secure printing, enclosing, and posting – removing the need for staff to travel into the office.

In addition, Mail Metrics deployed an onsite Print Manager to provide a responsive service, ensuring high-quality delivery of more complex print jobs. The introduction of the IQ 2Print web-to-print system further streamlined diverse print requirements, cutting costs and improving turnaround times for everything from official documents to branded materials.

The Results:

The transformation delivered measurable results. The Council achieved more than 18% savings on print, enabled 1,300 staff members to use Hybrid Mail, and processed over 2,500 print orders through IQ 2Print.

The changes not only reduced costs but also provided staff with the flexibility and tools they needed to work effectively in a hybrid environment while maintaining service quality for residents.
